Personal Information Collection Statement
United Asia Finance Limited (the “Company”) is committed to implementing the requirements of the Personal Data (Privacy) Ordinance (Ordinance) by taking all reasonable steps to safeguard personal data in connection with various stages related to staffing including but not limited to recruitment and employment. This Statement informs you about our responsibilities and the data subjects’ rights with regard to their personal data.
Use of Personal Data held by Us
The personal data collected from you will be used by the Company to throughout the recruitment and employment stages during which to assess the suitability for a position and to determine the preliminary remuneration and benefits package to be offered for the successful applicants and staff.
During the recruitment stage, examples of the type of information we may collect include your name, email, address, contact details, resume, education background, employment history, and referees. If you choose not to provide any of the information requested, we may be unable to send you information, fully process your application or properly consider you for employment. When providing us with the information, you represent that such information is accurate, complete, up to date and true and is supplied for the sole purpose of seeking job or employment vacancies or positions.
The Company may, with your prescribed consent, disclose your personal data to third parties such as related companies, joint venture and partners if it is necessary for any of the purposes stated above, provided that such third parties are under a duty of confidentiality and that they may only use the data for the purposes for which they are supplied.
Data Subject’s Rights and Obligations
You must ensure that all information provided to the Company is accurate, complete and up-to-date. Data provided which is inaccurate, incomplete or out-of-date may influence the processing and outcome of an application and employment benefits administration.
The Company will comply with the Personal Data (Privacy) Ordinance (“Ordinance”) and have regard to codes of practice that apply to your personal information. It will ensure that your rights are upheld. Under the Ordinance, you are entitled to be informed whether we hold any of your personal data, and to be supplied with a copy of and to correct such data we hold. If you wish to access to and/or correct any of your personal data held by us, you should submit the request(s) in writing to us. In accordance with the terms of the Ordinance, the Company has the right to charge a reasonable fee for the processing of any data access request.

Requests for information may be made orally or in writing.
Oral requests will usually suffice where the information sought can be provided readily and simply, for example, by oral replies or provision of leaflets or standard forms. The Department may, however, ask for the requestor to confirm in writing where necessary or appropriate.
Written requests may also be made by letter.
The letter or completed application form can be submitted either in person; by mail; by fax or email to the designated person. Responses to requests for information will be given as quickly as possible. So far as possible information will be provided in the form in which it exists. Where disclosure of certain information in a record is to be refused, access will normally be provided to the remaining part of the record.
The Company is not obliged to –
• acquire information not in its own possession;
• create a record which does not exist;
• provide on requested information which is already published, whether free or at a charge;
In these circumstances a requestor for information will, where possible, be directed to the appropriate source of the information.
Retention Policy
It is our policy to retain the personal data of unsuccessful applicants for future recruitment purposes for a period of up to 24 months. When there are relevant vacancies within the Company during that period, we may transfer selected applications to the relevant part of the Company for consideration of employment. Please let us know if you do not wish us to retain your details for this purpose.
Meanwhile, we retain employment-related data for no longer than 7 years upon the date an employee leaves employment.
Governing Law and Jurisdiction
This Data Privacy Statement and the rights and obligations contained hereunder shall be governed by and construed in accordance with the laws of Hong Kong. The courts of Hong Kong shall have the exclusive jurisdiction to hear and determine any suit or proceeding, and to settle any dispute or claim, which may arise out of or in connection with these terms and conditions and the parties hereby irrevocably submit to the jurisdiction of such courts.
